Free Resource: Quick-start RFP Template
Here at Motif, we’ve received our fair share of RFPs. We’ve seen the good, the bad, the ugly and everything in between. We’ve learned that a well-constructed RFP can be as valuable for us (the vendor) as it is for you (the company who issues it). So, we’ve made it a practice over the years to find and analyze the characteristics of good RFPs — the things that contribute to successful projects.
Of course, every project is different, and there’s no one right answer for what makes an effective RFP. But a relatively simple set of common elements seems to ensure most of the success. It’s an 80/20 rule kind of thing. Certain tasks, certain questions, and certain levels of organization (maybe 20% of all the RFP activity we see) are crucial to getting most (maybe 80%) of the value. Outside of that focus, you can spend a lot of time for little-to-no extra benefit.
This realization led us to ask if we could provide those simple-but-crucial elements in a fill-in-the-blanks format. The answer was yes, and here it is:

Created in Microsoft Word as an easy-to-use form, it can be quickly completed and sent out to your list of possible vendors. Or, if you have another preferred RFP format, you can still use ours for a few ideas to make it better. Either way, you can be sure that you’re focusing on things that will make a difference to a successful RFP process.
